Solution Design and Implementation
Scoping
The first phase in any successful Tokairo document management solution implementation involves preparing the formal terms of reference for the project and establishing an understanding of the customer's goals and objectives for the project. This is achieved through a Scoping Exercise where preliminary information on, what needs to be done, who will be involved in the process and how and when it will be done is gathered and documented by Tokairo Professional Services in a Project Brief document.
Analysis & Design
During the Analysis & design phase the work required to build the document management solution, outlined in the Project Brief, is examined and refined by both Tokairo and the customer resulting in a sign off by the customer. The skills required to conduct the work are identified and constraints that may affect the delivery of the solution are highlighted. In addition the training needs for key project and/or user personnel are identified.
The result of this phase is that the Tokairo Project Team and customer both have a clear understanding of what the proposed solution is and how it is going to be developed.
System Implementation & User Acceptance Testing
This phase focuses on building and testing the solution as outlined in the Project Brief and agreed by the customer. The tasks involved in this phase include installing & configuring TokOpen document management software, installing and configuring hardware, setting up and testing workflow processes, developing and testing bespoke applets and integrating the solution into the customers IT infrastructure ready for moving into production.
Deployment
This phase focuses on moving the document management solution into production and the Tokairo Project team work closely with the customer to ensure they are satisfied with the results. The project moves onto a formalised Support Level Agreement so that on-going support can be provided. Additional end-user training may also be conducted and project deliverables finalised.
Project Closure & Enhancement
The final phase of the project is closure. Before this can be completed a Project Closure Meeting is undertaken by Tokairo Professional Services to review the performance and delivery of the final document management solution and to finalise any remaining contractual obligations to the customer. Customer satisfaction is assessed; references obtained and new opportunities for enhancing the solution are identified.
