TokOpen eCopy Connector - Index and Store documents as they are Scanned

TokOpen integrated with the TokOpen eCopy Connector delivers significant performance benefits to Companies who have either deployed digital copiers across the business or are considering doing so.

Tokairo Limited has established a strategic partnership with eCopy launching a series of TokOpen eCopy Connectors. Users are able to index and store documents as they are scanned. Documents are automatically stored and managed within the TokOpen document management system irrespective where the digital copier is located.

In other words, when scanning to TokOpen, the user can only access those drawers and folders that they are authorised. TokOpen will then automatically enforce the document security and access control once the document is scanned.
  • Once documents are scanned, they can be made available instantly, allowing other staff to search for and retrieve the documents across the organisation (if they have authorisation.)
  • Scanned documents can be automatically routed through a workflow system thus removing the need to send documents via ‘snail mail.’
  • Facilitates staff to scan their own documents into their own ‘In Tray,’ which is immediately accessible online via a standard Web Browser

Document Scanning Options

As a general rule, there are two types of document scanning and indexing options supported by the TokOpen eCopy Connector:

  • 1. Manual / ad hoc scanning with document indexing.
  • 2. Volume scanning with semi or fully automated document indexing.

Manual / ad hoc document scanning and indexing

Document scanning and indexing is performed manually using the touchscreen keypad on the multi-functional device. Lookups are also supported, and they can be set to index documents. For example, the list of Account Codes can be obtained directly from the Accounts System by TokOpen. This is just one example of the power that TokOpen delivers when used with eCopy products to scan and index documents.

Volume Scanning with semi or fully automated document indexing

If your organization requires large volume scanning with semi or fully automated indexing, document storage with complex indexing, and/or archive scanning, it is best to use TokOpen Sorting Office. Sorting Office performs both semi automated and fully automated indexing of documents that are scanned using a digital copier and TokOpen eCopy Connector.
