TokOpen Document Management Standard Functionality
TokOpen's strength lies in its ability to scale from the simple document search and retrieve process through to the business critical process based requirements.
TokOpen's flexibility is also reinforced by its ability to be tailored to meet different business and process requirements.
Document capture, document storage and document retrieval are supported by the standard TokOpen functions. You retain a high level of flexibility to tailor TokOpen to meet your requirements. Every TokOpen document system has to have a minimum 5 Advanced Users thereafter you have the flexibility to decide the number of additional Advanced and View users.
A View user has the facility to search for and view documents and folders only they are permitted to access.
An Advanced user has the facility to create documents, be assigned as an Administrator and perform other functions not related to searching and viewing documents, for example performing a workflow task.
Having the facility to decide upon the number of View and Advanced users allows you to tailor your document management system to meet specific budget and functional requirements. For example, you could have 5 Advanced users with 100 View users. You retain the flexibility to implement a small or departmental document management system and expand it at your pace to meet future requirements building upon the same TokOpen system implemented at the outset.
Irrespective of the number of View and Advanced users you require, you retain the freedom to use any of the TokOpen Modules.
TokOpen's standard functionality allows you to turn disorganized filing, lost or missing documents that are stored and managed using individual and personal filing systems into a centrally managed document system allowing staff to locate folders and files immediately as they are required.
