TokOpen Document Management System Explained

TokOpen provides all the functionality required to manage your documents from capture, storage and security management, search and retrieval through to managing the flow of documents through and beyond your organisation.

Functionality

Included as standard with every TokOpen document management system are the Standard Functions for capturing, managing and retrieving folders and documents. You decide which Optional Functions and Modules you require to meet your specific demands now or in the future. You also benefit from the flexibility to implement a small or departmental document management system and expand it at your pace to meet future requirements building upon the same TokOpen system implemented at the outset.

Price

TokOpen achieves its price competitive positioning by differentiating between View and Advanced users. Both have the option to use either a standard web browser or the TokOpen Desktop.

TokOpen View Users can perform all document search and document retrieval functions. TokOpen Advanced Users can perform the same functions in addition to the option to use advanced document management functions that are not directly related to searching and viewing documents and folders.

By differentiating between a View User and an Advanced User, you retain the flexibility to price position your TokOpen system to meet even the most price-sensitive demands while not restricting your options to expand the system in the future.

Named and Concurrent Users

TokOpen also provides you with the option to purchase named or concurrent TokOpen licences. A Name Users Licence limits the number of users that can be setup in the system to the number of Named View and Advanced User licences purchased. These users can all use TokOpen at the same time. A Concurrent User Licence has no limit on the number of users that can be setup on the TokOpen document management system however the number who can use TokOpen at any one time is limited to the Concurrent User licence purchased.

Modules

TokOpen Modules are also available for the more specific document management functions, such as production scanning and print output management. Tokairo is also continually developing its strategic alliances integrating the latest advances in capturing and managing documents into the TokOpen portfolio of products.
